A Guide to Creating a Subject Departmental Staff Handbook
I created a subject department handbook for my maths department during my 15 years as head of maths. I’m sure the final version I produced would have already substantially changed the content of each section. However, there would be little change in the section headings. It is important that your staff handbook is always an ongoing project.
It took me three years to produce my first manual. It started as an amalgamation of all my political statements that I had made during those three years. I was lucky enough to have a department head show me his department handbook. It became my initial model.
I expanded on his model and added my own ideas as the years went by. Every year, I revised the document. Most of the changes were slight, although I added additional sections as time went on.
The main objectives of a departmental staff manual are

to create a common set of policies, guidelines and procedures that all staff can follow to ensure that all students are treated equally and consistently.

Second, the goal was to inform staff what resources were available and where to find them.

Thirdly, he gave advice on matters such as discipline, field trip procedures and computer room rules, etc.

Fourth, it detailed procedures that occurred only once a semester or once a year, for example, reporting and feedback procedures.
Each staff member would receive a department handbook annually. Hired teachers also received one during their time with us.
Initially, we set up these manuals in a folder with dropdown pages. The idea was to reduce paper usage by simply replacing obsolete pages with their replacement pages. However, I found that this did not work satisfactorily, mainly because these replacement pages were unfortunately often published at times when teachers had more pressing issues to deal with. The pages were simply put on the back of the folder and often lost or lost, so I decided to produce a booklet printed on both sides and stapled with a light cardboard cover.
Manuals were collected at the end of each year to be reissued or replaced the following year. I always had several extra copies available for tenured and intern teachers. I also kept the replacement copies and made them available to preservice teachers and interested teachers in other schools to take home.
The list that follows is just a start of what a departmental handbook might look like. As head of a subject department, you may have inclusions that relate directly to your teaching area. (In a later article, I suggest what topics could be added, perhaps, as a supplement.)
Organization of classes at each level; work programs;
Allocation policy for staff only; Assignment policy for students only;
Evaluation; inform parents;
Role of unit coordinators; writing evaluation instruments;
Preparing students for assessment; exit reports and comments;
Responsibilities of contract/relief teachers; Homework policy
Discipline in the thematic department; textbook rental scheme;
Department building, usage guidelines; student books
Use it only as a starter model and put your own stamp on it. In the later years of my career, my handbook became a template that newly appointed department heads at my school used to create their own.
